Pro Health Psychiatry is a 100% telehealth outpatient psychiatric practice delivering collaborative, subspecialty mental health care. What happens when patient demand outpaces your EHR?

Manual intake, fragmented SMS, and a linear staffing model threatened to cap growth.

Pro Health Psychiatry launched in 2023 as a solo outpatient practice in Irvine, CA. Within two years, high patient demand fueled rapid growth to nine clinicians across multiple subspecialties. That growth revealed two operational bottlenecks. First, every two providers required one additional office staff member just to manage coordination. Second, a 15 to 20% patient cancellation rate driven by incomplete intake paperwork. At 200 to 300 new patient appointments per month, both were significant.

Both problems traced back to the same infrastructure gaps. Tebra's SMS system routed outbound communications across three separate phone numbers, so patient replies frequently failed or went unanswered. The intake workflow was only partially automatable, and what the platform couldn't handle defaulted to manual: staff-initiated calls, text reminders, and follow-ups chasing incomplete paperwork.
