Healthie for Good gave Monarch School Project's clinical team 40–70 hours back each month to focus on unhoused youth

Monarch School Project provides school-based behavioral health services to unhoused youth and their families in San Diego. As a nonprofit, they had relied entirely on paper records because every EHR built for their clinical needs was priced out of reach. Paper records carried their own costs in staff hours, physical storage, and manual grant reporting, all of which compounded as the program grew. Through Healthie for Good, Monarch got access to a fully electronic documentation system that fit both their clinical workflows and their budget. Their nine-person team went live in April 2026 and has since reclaimed 40–70 hours a month in administrative time, streamlined grant and funder reporting, and given supervisors real-time visibility into trainee documentation across the program, and enabled them to carve out a path for growth.

Monarch's clinical team reclaimed 40–70 hours a month without adding a single resource

A nine-person nonprofit team can dedicate significantly more resources to its students and mission.

Going fully electronic freed Monarch to spend less time on administrative tasks and focus on clinical care and growth. And as the program expands, adding clinicians, trainees, and potentially new school sites, Healthie scales alongside it.

  • 5–7 hours saved per week per admin staff member, previously spent filing, retrieving, and organizing paper charts.
  • 1–2 hours saved per week per provider, with documentation now completed electronically and records accessible immediately
  • Grant and funder reporting that previously required manual data compilation can now be pulled directly from a centralized system, reducing one of the most time-consuming administrative burdens for the team

“Over the next 12–24 months, we expect to expand our behavioral health program by serving more students, adding clinicians and trainees, and potentially supporting additional school sites. Healthie provides a scalable platform that can grow with our program, while the Healthie for Good discount allows us to direct more of our funding toward client services instead of administrative costs.” –Carmen Guerrero, LMFT, Senior Director of Behavioral Health at Monarch School Project

"We're excited to continue growing our behavioral health program with a documentation system that can grow alongside us. As we expand our services and support more students, Healthie provides a scalable foundation that will help us maintain organized, secure, and efficient clinical documentation."

Challenge

The EHRs built for Monarch's clinical needs were priced for health networks and digital health companies, not nonprofits

Without access to the right infrastructure, nonprofits are limited in the impact they can have.

Monarch School Project's behavioral health program had a structured, thorough clinical documentation process, though all of it lived on paper.

For a program serving unhoused youth, a population with complex, overlapping needs, maintaining accurate and accessible records was extremely burdensome. While paper records appeared to be a low-cost option, staff hours were spent filing, retrieving, and organizing charts. Physical storage of records added another line item. Grant and funder reports required manual data compilation instead of running a report. Each item was nearly manageable on its own, though together they added up to a system that was labor-intensive and only getting more costly as Monarch continued to add clinicians and trainees.

Carmen Guerrero, Senior Director of Behavioral Health, evaluated every EHR option available and found that any platform that met their clinical and compliance needs was out of reach financially. Then she discovered that Healthie had launched Healthie for Good, a program designed to give nonprofits access to the same clinical infrastructure used by larger health organizations. "Healthie for Good was the only solution that balanced affordability with the features we needed," said Guerrero.

Solution

Monarch's clinicians moved to a fully electronic system in weeks, without abandoning the processes that already worked

Healthie’s highly customizable and intuitive product transformed Monarch’s operations.

The Healthie team helped Monarch have a smooth implementation, with no disruption to providing care. They converted their existing paper forms directly into customized electronic forms, so clinicians moved into the new system without abandoning the clinical processes already working for their program.

From there, Monarch built their documentation workflow around Healthie's core clinical tools: electronic charting, intake documentation, progress notes, treatment planning, and secure HIPAA-compliant record storage. All client records are now centralized in one platform, accessible immediately.

For Monarch's supervisors, the shift has been especially significant. As a training site, they oversee multiple clinicians and trainees simultaneously. Before Healthie, supervising trainee documentation meant physically locating paper charts, reviewing them on-site, and coordinating corrections in person. Now supervisors can access records from any location, review documentation electronically, and provide timely feedback. "Healthie has transformed our clinical supervision process," said Guerrero. "Supervisors can quickly access, review, and provide feedback on trainee documentation from one secure location rather than tracking down paper charts."

Healthie for Good made the platform financially accessible, allowing Monarch to invest their budget in client services rather than administrative infrastructure.
