Team Member Tags

Categorize team members by attributes like profession, specialty, location, or credentialing status, then use those tags to match clients with the right provider or filter the organization calendar. Tags are managed from the same centralized Tags Manager as Client Tags. Admins can restrict who's allowed to create new tags to keep tagging consistent across the organization.

The problem it solves

Matching a client to the right provider, or filtering a calendar view to a specific specialty or location, is hard without a structured way to categorize team members beyond their name and role. Team Member Tags solves this by letting admins apply consistent, filterable attributes to staff that can be used for provider matching, scheduling, and administrative tracking.

What's included

  • Freeform tags applied to team members for attributes like profession, specialty, or location
  • Organization Calendar filtering by team member tag
  • Administrative tag use for tracking credentialing status, licensure, or in-network payers
  • Permission control over who can create new tags, separate from who can apply them
  • Centralized Tags Manager page shared with Client Tags, showing usage counts per member

How it works

An admin or team member with permission navigates to Organization > Members > [member] > Edit Settings to add or remove tags for that person. To restrict who can create new tags, an admin enables or disables the "Can create new tags" permission under Tags in a member's settings; when disabled, a user can still view and apply existing tags but not create, rename, or delete them. Once tags are applied, the Organization Calendar can be filtered by tag to view only team members matching a given attribute. All team member tags, alongside client tags, are managed from Settings > Tags, where admins can view usage counts and rename or delete tags; removing a tag from a member does not delete the tag itself from the organization.

Team Member Tags let admins categorize staff by attributes such as profession, specialty, location, or licensure, separate from the Client Tags used on client profiles. It's built for multi-provider organizations that want to match clients with the best-suited provider, filter the organization calendar by tag, or track administrative details like credentialing status and in-network payers. Team members with the appropriate permissions can create, apply, and remove tags from a member's settings, while a separate permission controls who's allowed to create new tags at all, helping keep tag usage consistent. All team member tags, along with client tags, are managed centrally from the Tags Manager page.
