Organization Member Permissions

Customize over 70 granular permissions and settings for each team member, controlling what they can see and do across client visibility, care team participation, task management, reporting, branding, and more. Permissions can be set individually per member, and pre-set defaults apply based on whether a member is Standard or Support. Common customizations include limiting which team members receive specific notifications, or giving a provider their own appointment settings distinct from the org default.

The problem it solves

Different roles on a team, providers, support staff, billers, and administrators, need meaningfully different levels of access, but managing that without granular controls means either over-sharing sensitive data or under-provisioning access needed to do the job. Organization Member Permissions solves this by letting admins tune access member-by-member across a wide range of specific capabilities.

What's included

  • Over 70 individually configurable permissions per team member
  • Care team and client visibility controls, including org-wide client search and list access
  • Task assignment, completion, and cross-organization task visibility permissions
  • Reporting access controls, including whether patient data is included in reports
  • Organization-wide settings access for features like Insurance, Brand, Charting, Chat, and Email Templates
  • Per-provider appointment setting overrides, distinct from org-wide defaults

How it works

An admin navigates to Organization > Members > [member] > Edit Settings > Permissions to view and adjust that member's individual settings. Permissions can be selected or deselected across categories like care team participation, client visibility, task management, and reporting; some settings, like "Can view all org members' tasks" or "Sees all clients in the organization," expand what a member can access beyond their own assigned clients. A member cannot modify their own permissions or role; a different admin must make the change, and the affected member needs to log out and log back in for updates to take effect.

Organization Member Permissions let admins customize more than 70 individual permissions and settings for each team member, controlling their access and capabilities across the account. It's built for practices that need granular control over what different roles can see and do, rather than a one-size-fits-all access level. Permissions span areas like care team participation, client visibility across the organization, task assignment and completion, reporting access (including whether patient data is included), branding, and organization-wide settings for features like Insurance, Charting, and Chat. Because a member can't change their own role, another account admin must make any permission or role changes on their behalf, and the affected member needs to log out and back in to see the changes reflected.
