Client Groups
Organize clients into groups to tailor which intake forms, appointment types, packages, and communications they see. Clients belong to exactly one group at a time, and moving them into a new group can automatically trigger new intake paperwork. Reports and message blasts can also be filtered by group.

The problem it solves
Different client populations, whether by program, diagnosis, or service line, often need different intake paperwork, different visible appointment types or packages, and separate communication channels, but managing all of that per client individually doesn't scale. Client Groups solves this by letting a practice define groups once and tie forms, visibility, and communications to group membership.
What's included
- Client group creation and management from the Client Groups page
- Group-specific intake flows, triggered automatically when a client moves into a group
- Automatic group assignment tied to a specific appointment type or package purchase
- Group-based visibility controls for packages, community chats, and group appointments
- Group filtering in Reports for tracking clients by group
How it works
An admin creates client groups from the Client Groups page and assigns each group an intake flow, if one is needed. Clients are added to a group manually, or automatically when they book an appointment type or purchase a package configured to assign a specific group; an admin can also set a default group for clients not otherwise assigned. When a client moves into a new group, they're prompted to complete only the new forms tied to that group, since previously completed forms aren't repeated. Group membership also determines which packages, community chats, and group appointments a client can see, and groups can be used as a filter within Reports. Since a client can only belong to one group at a time, moving them into a new group removes them from their prior group's chats and appointments.
Client Groups let practices segment their client base and tailor each group's experience — the intake forms they receive, the appointment types and packages they can see, and the communications they get. It's built for practices running multiple populations, programs, or service lines that need different paperwork or visibility rules for each. A client belongs to exactly one group at a time; moving them into a new group can automatically prompt any new intake forms tied to that group, while previously completed forms aren't repeated. Groups can be assigned manually, automatically based on an appointment type or package purchase, or left as a default group for new or unassigned clients.
