Smart Tasks
Automatically create and assign a task when a specific event happens, like an appointment being marked Occurred without a completed chart note, a chat going unanswered for a set number of days, or a concerning intake form response. A few Smart Tasks are natively configurable from Settings > Tasks, while more advanced or custom triggers require building via Healthie's API. Each Smart Task carries a category tag so it's identifiable as automatically generated rather than manually created.

The problem it solves
Relying on staff to notice and manually create a task for every recurring operational gap, like an unfinished chart note or an unanswered client message, doesn't scale and depends on someone remembering to check. Smart Tasks solves this by triggering the task automatically the moment the underlying condition is met.

How it works
For natively supported Smart Tasks, an admin enables the relevant toggle from Settings > Tasks and sets any required timeframe, such as how many hours or days after an appointment is marked Occurred before a charting-reminder task should be created; this specific Smart Task only fires if an appointment is Occurred and has an attached, unlocked note that hasn't been signed, not if no note was written at all. For triggers not yet available natively, such as flagging a concerning intake form answer or detecting days of chat inactivity, a team's developer builds the logic via Healthie's API, using the smart_category field to tag the resulting task as a Smart Task. Requests for new native Smart Task types can be submitted through Healthie's Product Portal.
