Group Sessions (Group Classes & Webinars)

Schedule appointments that host multiple clients and/or providers at once, for group classes, webinars, or team-based care. Set a maximum client count, connect the session to charting, and choose in-person or virtual delivery. Group sessions must be added directly to the calendar, since general availability doesn't support client self-booking for them.

The problem it solves

Standard 1:1 appointment scheduling has no way to host multiple clients in the same session or capture one shared note for the group, which makes running classes, webinars, or team-based visits clunky to schedule and document. Group Sessions solves this by supporting multiple attendees and providers on a single appointment, with group charting built in.

What's included

  • Group Appointment Type designation, distinct from 1:1 appointment types
  • Configurable maximum number of clients per session
  • Multi-provider support with co-host capability for telehealth sessions
  • Group charting note option covering the full session in one note
  • Manual scheduling requirement, since group sessions aren't bookable through general availability

How it works

A provider first marks an Appointment Type as a Group session in its settings, and optionally restricts contact type to Video Call if the session is meant to be a webinar. The provider then manually adds the specific group session to the calendar, since general availability doesn't allow clients to self-book group sessions the way 1:1 sessions can be booked. Clients enroll by using the calendar link for that session or being added directly. Additional providers can be added under the Organization Member section of the appointment, and for telehealth sessions, those providers can act as Zoom co-hosts. After the session, the provider can create a single group charting note rather than documenting each client individually.

Group Sessions let providers schedule appointments that host more than one client, and optionally more than one provider, at the same time. It's built for practices running group classes, webinars, or team-based care that need more than a standard 1:1 appointment slot. A Group Session is created by marking an Appointment Type as a group session, then adding the specific session to the calendar directly, since general availability doesn't support client self-booking for group sessions. Providers can set a maximum number of attendees, add other organization members as co-hosts, and generate a single group charting note for the session instead of documenting each client separately.
