Client Source Tracking

Track where each client came from, referral, ad, website, or a specific referring provider, and see the breakdown in a dedicated Client Sources report. Add the Client Source Smart Field to any form or charting note to have clients' reported source automatically populate their profile and the report. Off by default and requires enabling from Business settings.

The problem it solves

Practices investing in marketing or referral relationships often have no structured way to know which channel actually brought in a given client, making it hard to know where to focus outreach. Client Source Tracking solves this by giving every client a trackable source field that rolls up into a filterable report.

How it works

An admin enables Client Source from Settings > Business > Client Source, which adds a Client Source field to the Client Profile under Actions > Client Info > Personal Information. Staff can manually select a source from the drop-down, choose a Referring Provider from the referral network (or add a new one), or select "Other" to free-text a custom source. To collect this directly from clients, a provider adds the Client Source Smart Field to a form or charting template from the Client Info question bank; when completed, the response automatically populates the client's profile and the Client Sources report. The report itself, found under Reports > Client Sources, updates dynamically as more client source data is added and can be filtered by source type such as Referring Provider, Ad, or Website.

Client Source Tracking lets practices record how each client found them, whether through a specific referring provider, an ad, a website, or another channel, to help measure and streamline marketing efforts. It's built for practices that want visibility into which referral or marketing channels are actually driving new clients. Once enabled, a Client Source field appears on the Client Profile where staff can manually select a source, or free-text a custom source under "Other." As Client Source data accumulates across the account, it appears dynamically in the Client Sources report, filterable by source type.
