Client Billing Type
Set a persistent Insurance Pay or Self Pay designation on a client's profile that overrides your default Appointment Type billing behavior for that individual, so the right billing workflow applies automatically to every appointment. Useful for clients who prefer to pay out of pocket despite having insurance, or whose coverage is still being verified. A manual override on a specific appointment still takes priority over the client-level setting.

The problem it solves
Without a client-level billing designation, staff have to manually correct billing settings every time they schedule or close an appointment for a client whose situation doesn't match the practice's default, which adds administrative work and increases the risk of wrong claim submissions or billing delays. Client Billing Type solves this by letting the correct designation travel with the client across every appointment, applying automatically instead of requiring repeated manual adjustment.
What's included
- Insurance Pay / Self Pay designation set directly on the client profile
- Automatic override of the practice's Appointment Type billing default for that client
- Permission-gated editing, requiring assigned-provider status or org-wide client visibility
- Defined priority order: manual appointment-level override, then client billing type, then Appointment Type default
- Dependency on Insurance Billing being enabled at the account level
How it works
An admin first enables Insurance Billing from Settings > Insurance, which makes the Billing Type field available on client profiles. A user who is either the client's assigned provider or has permission to view all organization clients navigates to the client's profile, selects Actions > Edit Personal Information, and sets the Billing Type field to Self Pay or Insurance Pay. Once saved, this designation automatically applies to that client's future appointments: a manual check or uncheck on a specific appointment always takes top priority, the client's Billing Type applies next if no manual override is set, and the Appointment Type default is used only if neither the client nor the appointment has an override.
Client Billing Type is a profile-level setting that designates whether a client should be billed as Insurance Pay or Self Pay, overriding the practice's default Appointment Type billing behavior for that individual without requiring manual correction at each booking. It's built for practices with a mix of insurance and self-pay clients who need to handle exceptions, such as a client who prefers self-pay despite having insurance on file, or one whose coverage is still pending verification. The setting requires Insurance Billing to be enabled for the account and requires the user editing it to either be the client's assigned provider or have permission to view all clients in the organization. Once set, the designation applies automatically to that client's future appointments, following a defined priority order beneath any manual per-appointment override.
