Insurance Settings & Accepted Policies

Enable insurance billing account-wide, mark specific payers as "Accepted Policies" so they surface at the top of the insurance dropdown on claims and intake forms, and manage which Billing Providers are available on claims. Disabling insurance settings after claims or Superbills exist doesn't delete any client data. If a payer isn't in Healthie's database, a custom policy can be added at the account or client level.

The problem it solves

Without a way to flag which payers a practice is actually in-network with, staff have to search the full national payer list every time they create a claim, and there's no account-wide control over whether insurance billing is available at all. This solves that by letting admins configure insurance billing once at the account level and surface commonly billed payers first.

How it works

An admin enables insurance billing from Settings > Insurance, then adds the payers the practice is in-network with as Accepted Policies; these appear at the top of the payer dropdown anywhere insurance is selected, such as on a CMS 1500 or the Insurance Form. The same settings area is where an organization's NPI number is added, which populates the Billing Information section of claims alongside other organization-level details. Billing Providers are managed from the same settings area and become selectable when creating claims. If a payer isn't found in Healthie's built-in payer database, an admin can add it as a custom policy at the account level, or a provider can add it directly to a specific client's profile. Disabling any of these insurance settings after claims or Superbills already exist doesn't remove that data; the settings and associated forms remain reviewable, and functionality returns fully if re-enabled.

Insurance Settings & Accepted Policies is the account-level configuration layer for insurance billing: enabling insurance billing overall, designating which payers a practice is in-network with as "Accepted Policies," and managing Billing Providers used on claims. It's built for practices setting up or maintaining their insurance billing configuration across all providers in an organization, rather than per-claim.
