Chat Auto Responder

Automatically send a preset reply to clients whenever they send a chat message, either as a one-time message (like a vacation notice) or a recurring message tied to specific days and times (like after-hours coverage). Each provider configures their own Auto Responder independently, and it can include guidance for emergencies, like directing a client to call 911 or 988. The message won't send unless the Auto Responder is explicitly toggled on, even if a start/end date or recurring schedule is already configured.

The problem it solves

Clients messaging outside of business hours, during a provider's time off, or in a crisis have no way to know when to expect a response, and a provider can't always reply immediately. This automatically acknowledges every incoming message on the provider's behalf, and can include emergency guidance so clients aren't left without direction in urgent situations.

How it works

A provider opens their Chat Settings and configures an Auto Responder message using the formatting toolbar, which supports hyperlinks and embedded video links. The provider chooses whether the message should always send, run within a specific start/end date range, or recur only during defined days and time windows (for example, weekdays from 6pm to 11:59pm). Regardless of how the schedule is configured, the Auto Responder will not send to clients unless the toggle itself is switched on. Once active, any chat message a client sends during the applicable window automatically triggers the configured reply. For an organization-wide message rather than a per-provider one, Healthie's separate Announcements feature is the recommended tool instead.
