Appointment Requests
Let clients request specific dates and times for an appointment even when your calendar shows no availability, so you don't lose potential bookings to a full schedule. Providers review, sort, and manage incoming requests from a dedicated CRM-style list, and can convert a request straight into a scheduled appointment. This is separate from the Group Appointment Waitlist, which only applies to group session types.

The problem it solves
A fully booked calendar typically means a client interested in booking simply gives up, since there's no way for them to express interest in a future opening. Appointment Requests solves this by capturing that interest directly, giving providers a structured queue to follow up on instead of losing the lead entirely.
What's included
- Client-facing request form for submitting preferred date/time options when no availability exists
- Support for multiple preferred date/time combinations per request
- Sorting and prioritization tools for managing incoming requests
- Convert to Client workflow for new clients submitting a request
- Auto-populated scheduling form and automatic request removal once an appointment is booked
How it works
An account owner enables Appointment Requests from Settings > Appointments. Clients who don't see availability can submit a request with one or more preferred date/time combinations, along with their contact information; existing clients logged into their account see the same submission option. Providers and admins review pending requests from the Appointment Requests tab, sort and prioritize them, and add internal notes as part of their CRM workflow. New clients can be converted to an active client record directly from a request. When a provider schedules the request, the appointment details auto-populate from the submission, a double-booking warning displays if there's a conflict, and the original request is automatically deleted once the appointment is confirmed.
Appointment Requests let clients submit a request for a specific date and time, even when a provider has no matching availability, instead of walking away because nothing was bookable. It's built for practices that want to capture interest from new or existing clients and turn it into a scheduled visit rather than a lost lead. Once enabled, providers review incoming requests from a dedicated list, sort by priority, and add internal notes before deciding to schedule or close a request. Scheduling a request auto-populates the appointment details from the client's submission and automatically removes the request from the list once booked.
