Add a new team member by entering their name, email, and role (Standard or Support), optionally applying a Permissions Template. To remove someone, archive their account instead of deleting it; archiving revokes login access, prompts reassignment of their clients, and preserves all client and system data. A provider can be made active again later, though their provider status will need to be manually re-enabled.

The problem it solves
Losing historical client and system data every time a team member leaves, or having no way to temporarily step someone back without disrupting their client relationships, makes staff turnover unnecessarily disruptive. This solves that by making deactivation reversible and non-destructive, while still requiring a clear reassignment plan for any clients the departing member was responsible for.

How it works
An admin navigates to Settings > Organization > Org Info > Manage Memberships, enters the new member's name and email, selects Standard or Support, and optionally applies a Permissions Template before saving; the new member receives an email notifying them of their addition. To remove someone, an admin marks their account Inactive rather than deleting it; this revokes login access, removes them from the Org Calendar if they were a provider, and prompts the admin to reassign their clients to another provider, whose appointments will need to be rescheduled accordingly. Intake forms, charting templates, programs, and other materials created by the archived member keep the same visibility they had while active. If the member returns later, an admin can set them back to Active, though their "Is a provider" permission resets to No and must be manually re-enabled for them to see clients again. Healthie recommends emailing support after removing a team member so billing can be adjusted, since subscription plans don't update automatically.
