Payments Dashboard & Recording Outside Payments
View a real-time dashboard of payments received, upcoming payments, and bank transfers, and manually record payments collected outside Healthie (cash, check, Venmo, etc.) to keep financial records complete. Send a receipt to a client for any payment, and export the full history via the Payments Report. Outside payments display alongside online payments but currently can't be marked as refunded directly.

The problem it solves
Practices that collect payment through multiple channels, some through Healthie and some outside it, need a single place to see the complete financial picture instead of piecing it together from separate systems. The Payments Dashboard solves this by letting outside payments be logged directly into Healthie's records alongside online payments, all visible and reportable in one place.

How it works
A provider records a payment made outside Healthie by navigating to Billing > Payments > Outside Payment and entering the payment details; this payment then displays alongside online payments on the dashboard and in reports, though it currently can't be marked as refunded directly (a new outside payment entry is recommended instead, to record a refund). Failed payments show with a red action-triangle status indicator, and a receipt can be sent to a client for any payment via Actions > Send Receipt to Client. Providers can download the full Payments Report for a selected date range for reconciliation, and can review a specific client's payment history, card on file, and outstanding invoices directly from their Client Profile's Billing section.
The Payments Dashboard gives providers a real-time view of payments received, upcoming scheduled payments, and pending or completed bank transfers, all from one page. It's built for practices that want a single source of truth for their billing activity, including transactions that happened outside of Healthie's own payment processing. Providers can record an outside payment, such as cash, check, or a third-party tool like Venmo, to keep accurate financial records even when the transaction wasn't processed through Healthie directly.
