Invoices

Create and send invoices for clients to pay electronically, track partial payments, and reuse common invoices as templates. Invoices are also generated automatically for autocharged appointments and package payment requests, so outstanding balances are always trackable in one place. Associate an invoice with a specific CMS 1500 claim, or let someone other than the client, like a parent or corporate payer, fulfill it on their behalf.

The problem it solves

Tracking what a client owes, especially across partial payments, insurance-related charges, or payments made by someone other than the client, is hard to manage without a structured billing record. Invoices solve this by giving every charge a trackable status and a payable link, whether the provider creates it manually or Healthie generates it automatically from another billing automation.

What's included

  • Manual invoice creation, plus automatic invoice generation for autocharged appointments and package payment requests
  • Partial payment tracking, with the remaining balance calculated automatically
  • Manual Paid/Unpaid status override, independent of actual payment collection
  • Save as Template option for frequently reused invoices
  • Support for third-party invoice fulfillment (e.g., a parent, guardian, or corporate payer) without requiring that payer to have their own client account

How it works

A provider creates an invoice manually from Billing > Invoices, or an invoice is generated automatically when a client package payment is requested or an appointment is autocharged. The client (or another designated payer) receives a link to fulfill the invoice using a saved or newly entered payment method; a partial amount can be paid, and the invoice will reflect the calculated remaining balance and update its status to Partially Paid. Providers can manually mark an invoice Paid or Unpaid, useful for reconciling outside payments like cash or check. A frequently sent invoice can be saved as a template from its Actions menu for quicker reuse, and an invoice can be linked to a specific CMS 1500 claim by setting its Invoice Type to CMS-1500 during creation. To have someone other than the client fulfill an invoice, such as a parent or a corporate payer, that person can be added as a client contact or account and sent the invoice directly, without necessarily receiving intake forms or other account access.

Invoices let providers bill clients for services and track payment status in one place, whether created manually, sent for a client package payment request, or generated automatically for an autocharged appointment. It's built for practices that need a trackable, payable-online record of what a client owes, beyond a direct card charge. A client fulfills an invoice using a saved payment method or by entering a new one, and providers can record partial payments, mark an invoice Paid or Unpaid manually, or reuse a frequently-sent invoice by saving it as a template. Invoices can also be associated with a specific CMS 1500 claim for insurance-related billing, or shared with someone other than the client, such as a parent, guardian, or third-party payer, to fulfill on the client's behalf.
