Phone Sessions

Lets providers offer appointments as a phone call instead of video or in-person, with the client's phone number surfaced directly in the appointment details for the provider to dial. Providers use their own phone line or a third-party HIPAA-compliant phone system, since Healthie doesn't route the actual call.

The problem it solves

Providers who want to offer phone consultations, rather than video or in-person visits, need a way to schedule and track those sessions inside their normal calendar rather than juggling a separate booking process. Without a dedicated contact type, providers have no consistent place to capture the client's phone number or restrict availability to phone-only slots.

What's included

  • Phone as a selectable Contact Type alongside Video Call and In-Person, configurable per Appointment Type
  • Client phone number surfaced directly in the appointment details and client profile at booking
  • Recurring or one-time availability that can be restricted to phone-only sessions
  • Works with any personal, business, or third-party HIPAA-compliant phone system
  • Same scheduling, reminders, and billing workflows as any other appointment type

How it works

An admin reviews Appointment Settings to confirm which Contact Types (In-Person, Video Call, Phone) are available account-wide, then edits a specific Appointment Type to designate it as a Phone Session, or leaves multiple contact types open for clients to choose from at booking. For providers who want dedicated phone-only time blocks, availability can be set on a one-time or recurring basis restricted to that contact type, from the Advanced calendar settings. Once a client books a phone session, their phone number is visible on the appointment in Calendar and in their Client Profile; the provider calls the client directly, using their own phone or a third-party HIPAA-compliant phone system, at the scheduled time.

Phone Sessions let providers designate an appointment type as a phone call instead of video or in-person, one of three contact types available in Healthie's Appointment Settings. It's for providers who want to offer telephone consultations without adding a separate scheduling tool, and requires a personal or business phone line, or a third-party HIPAA-compliant phone system, since Healthie doesn't provide phone service itself. Providers enable a phone contact type at the Appointment Type level, and can further restrict availability so specific time slots are only bookable as phone sessions. When a client books, their phone number appears directly in the appointment details and client profile for the provider to call at the scheduled time.
