Patient Encounters
Every appointment marked as occurred automatically creates a structured Patient Encounter linking that visit's chart notes, insurance claim, and invoices into one record. Providers can view the full picture from a read-only Appointment Details page. No manual linking required.

The problem it solves
Providers and billing staff often have to piece together a visit's story by checking chart notes, claims, and invoices separately. Patient Encounters solve this by automatically linking all three the moment a visit is marked complete, so there's a single record to review instead of three disconnected systems.
What's included
- Patient Encounter record automatically created when an appointment is marked occurred
- Linked chart notes for the associated visit
- Linked CMS 1500 claim for the associated visit
- Linked invoices and requested payments for the associated visit
- Read-only Appointment Details page consolidating all linked data
How it works
When a provider marks an appointment as Occurred, Healthie automatically generates a Patient Encounter tying that appointment to its chart notes, CMS 1500 claim, and any invoices. Staff can view the consolidated record from Workflows > Appointments by selecting View Details on the appointment, which opens the read-only Appointment Details page.
Patient Encounters give every completed appointment a structured, unified record connecting its clinical and billing data. A Patient Encounter is created automatically the moment an appointment is marked as occurred, with no manual setup required. It's built for organizations that want a single source of truth for what happened during a visit, its documentation, and its billing. Staff can view an Encounter's chart notes, CMS 1500 claim, and invoices together from the read-only Appointment Details page, accessible via Workflows > Appointments.
