Group Appointment Waitlist

When a spot opens up in a full group appointment, automatically add the next client from the waitlist and send them a confirmation email. Enabled per group appointment type, with a checkmark shown in the Appointment Types list for types that have it turned on. Clients can still cancel after being added if they're no longer able to attend.

The problem it solves

A full group session with a cancellation typically sits at reduced capacity unless a provider manually notices the opening and reaches out to fill it, which wastes both the seat and staff time. Group Appointment Waitlist solves this by automatically filling the opening from the waitlist the moment it appears, without requiring a provider to intervene.

What's included

  • Waitlist toggle available on group appointment types only
  • Automatic client addition when a spot opens up in a full session
  • Confirmation email sent to the client who fills the open spot
  • Waitlist column on the Appointment Types overview for quick visibility into which types have it enabled
  • Manual capacity increase option for providers who want to pull in more clients directly from the waitlist

How it works

A provider enables the Waitlist setting on a group appointment type, alongside setting a maximum number of attendees. Once the session reaches capacity, clients attempting to book instead see a "Join Waitlist" option. When an existing attendee cancels, Healthie automatically adds the next client from the waitlist to the appointment and sends them a confirmation email; if there are multiple waitlisted clients, the first to confirm gets the spot. Clients who don't have credits for the session can still join the waitlist, but won't be auto-added if the provider requires credits, requiring the provider to either request payment or add them manually. Providers can also increase a session's maximum capacity directly to add more clients from the waitlist.

Group Appointment Waitlist automatically fills an open spot in a full group session with the next client waiting for it, instead of leaving the seat empty until a provider manually rebooks it. It's built for group appointment types that have hit their maximum attendee capacity and want to capture demand from clients who couldn't get in. When a spot opens up, Healthie automatically adds the next client on the waitlist and sends them a confirmation email; if multiple clients are waitlisted, the spot goes to whichever client confirms first. Providers can also manually increase a session's capacity to pull in more clients from the waitlist directly.
