The problem it solves

Providers need a single, secure place to store and distribute the resources they use across their practice, handouts, recipes, videos, client-specific results, rather than keeping files scattered across a local computer or a separate cloud drive that isn't tied to the client's record. Documents solves this by giving every file one home that's shareable directly to a client's Healthie account.

How it works

A provider uploads a resource to their Documents library from the web browser or mobile app (including snapping a photo directly from the app), organizes it into folders and sub-folders, and clicks the resource's Actions menu to Share it with all active clients, all new clients going forward, a specific client or group, or other organization members (this last option requires the "Can share documents and folders with other org members" permission). Clients see shared resources under the Documents tab of their Client Portal or mobile app and get an email notification when something new is shared; they can also upload their own documents, which triggers a notification to the provider if that setting is enabled. For a file specific to one client, like lab results, a provider instead uploads it directly from that client's profile (Charting > Documents), marking it visible or not visible; converting a document to a private, locked document removes it from the general library and restricts it to that one client only. To share a resource with someone who isn't yet a Healthie client, a provider can attach it to a free Package with a shareable link; the recipient enters their contact details (no login required) and a lightweight client account is created automatically so they can access the resource. Videos up to 50MB in .mp4 format can be stored directly in Documents; larger videos, or any video used inside a Program module, should be hosted on YouTube, Loom, or Vimeo instead and linked. Downloaded reports save automatically to a dedicated Generated Reports folder inside Documents.
