Automatic Charging for Late Cancellation and No-Show Appointments

Automatically charge a client a set fee the moment their appointment is marked as a late cancellation or no-show, instead of manually invoicing them after the fact. Admins set separate fees for each status and choose whether to enable the charge at all. Appointment reports track late cancellation and no-show rates for follow-up analysis.

The problem it solves

Chasing down payment for missed or late-cancelled sessions is time-consuming and often goes uncollected, especially at scale. This automation solves that by charging the client automatically the moment staff mark the appointment as a late cancellation or no-show, so the fee doesn't depend on someone remembering to invoice it later.

What's included

  • Configurable fee amounts for late cancellation and no-show, set independently
  • Automatic charge triggered when an appointment status is set to Late Cancellation or No-Show
  • Appointment Report tracking with Late Cancellation and No-Show as filterable statuses
  • Templated cancellation policy forms available in the forms library
  • Toggle to enable or disable the automatic charge independent of other billing automations

How it works

An admin navigates to Settings > Appointments > Payments and Credits and enables Automatically Charge for Late Cancellation and No-Show Appointments, then sets a fee for each status. When a provider or staff member marks an appointment's status as Late Cancellation or No-Show on the calendar, Healthie automatically charges the client the configured fee for that status. Because the status change is a manual judgment call, exceptions to a cancellation policy can still be made by simply not applying the status. Practices can review late cancellation and no-show trends through the Appointments Report.

Automatic Charging for Late Cancellation and No-Show Appointments lets providers set a fee that's automatically charged whenever an appointment is marked as a late cancellation or a no-show. It's built for practices that want to enforce a cancellation policy without manually invoicing every missed session. Admins configure the setting and set specific fees for each status from Settings > Appointments > Payments and Credits. Because marking an appointment's status is a judgment call made by a provider or staff member, the charge only fires once that status is applied, not automatically based on time alone.
