Transcript Retention Policy
Transcript Retention Policy gives organizations control over how long Healthie stores instant video call transcripts before automatic deletion. Admins can set a custom day-based retention window or leave transcripts stored indefinitely.

The problem it solves
Healthcare organizations must often comply with data minimization policies that prohibit retaining clinical conversation data longer than necessary. Without a configurable retention window, transcripts accumulate indefinitely, creating potential compliance and liability exposure for organizations subject to those policies.
What's included
- Day-based transcript retention window, configurable per organization
- Automatic deletion of instant transcripts after the defined retention period
- Indefinite retention option when no day count is specified
- Applies to AI Charting-generated transcripts
- Accessible in Video Call Settings alongside other telehealth configuration options
How it works
Once the feature is enabled, navigate to Organization Settings and open Video Call Settings. In the Transcript Retention field, enter the number of days after which instant transcripts should be automatically deleted. Leave the field blank to retain transcripts indefinitely. Deleting a transcript does not remove any AI-generated notes or summaries produced from it, and does not apply to video recordings.
Transcript Retention Policy allows organizations to define a maximum storage period for instant transcripts generated during video calls. Admins set a number of days after which transcripts are automatically deleted, or leave the field blank to retain transcripts indefinitely. This setting applies to organizations using AI Charting and is configured in the Video Call Settings panel. Deleting a transcript does not affect any AI-generated notes or summaries, and does not apply to video recordings.
