Stop Automated Emails to Archived Clients

Ensures that archiving a client reliably ends all automated emails and push notifications to them, including appointment reminders, message blasts, program notifications, and chat email alerts. Archived clients are also locked out of portal login, so the relationship closes cleanly without manual workarounds.

The problem it solves

By default, archiving a client stops forms, goal reminders, and new blasts but leaves other automated emails and push notifications running, so former clients can keep getting appointment reminders and program notifications long after they have left. Providers have resorted to editing email addresses to stop the messages, and in the most painful cases the emails reach the families of deceased clients.

What's included

  • Suppression of all automated emails and push notifications to archived clients, including appointment reminders, message blasts, program notifications, and chat email notifications
  • Portal login lock for archived clients as part of the same setting
  • Org-wide application once enabled, with no per-client configuration required
  • Automatic restoration of normal notifications and login when a client is unarchived
  • Manual provider emails unaffected, so direct outreach remains possible when needed

How it works

Navigate to Settings, then Journal Entries, then Inactive Access, and enable "Lock archived clients out of login and stop sending them automated emails." From that point, archiving any client through the Clients tab or bulk archive triggers the suppression: Healthie stops sending that client automated emails and push notifications across appointment reminders, message blasts, program notifications, and chat email alerts, and the client can no longer log into the portal. Archiving continues to perform its default actions as well, cancelling upcoming appointments and scheduled payments and removing the client from notification feeds and future community chats. Emails a provider sends manually to the client are still delivered. Unarchiving the client restores login access and notification delivery.

Stop Automated Emails to Archived Clients is an organization-level setting that suppresses every automated outbound email and push notification to a client once they are archived. It is built for practices that need confidence that former clients, and the families of deceased clients, will not keep receiving reminders and notifications after care ends. Enabling the setting also locks archived clients out of logging into the portal. Unarchiving a client restores normal notification and login behavior immediately.
