Require a Credit Card During Client Booking

Require prospective or new clients to enter a credit card before completing the booking flow for a specific appointment type, reducing no-shows and ensuring payment protection for first-time bookings. Only applies to clients booking via a public or embedded link while not logged in; existing clients logged into their account are never prompted. Configurable per appointment type, independent of provider-booked appointments.

The problem it solves

New or prospective clients booking a first session carry the highest no-show and payment risk, since there's no existing relationship or payment history to fall back on. This setting solves that by requiring a card on file before the booking can be completed, without adding the same friction to appointments booked by existing clients.

What's included

  • Per-Appointment-Type "Require a credit card for booking" toggle
  • Card requirement scoped only to non-logged-in (prospective/new) client bookings
  • Automatic exemption for already-logged-in existing clients
  • Automatic exemption for appointments booked by a provider on a client's behalf
  • Support for credit, HSA, and FSA cards at the point of booking

How it works

An admin first confirms the target Appointment Type is enabled for client self-booking, then opens its settings via Settings > Appointment Types > Actions > Edit and selects "Require a credit card for booking." When a prospective or new client books that appointment type through a public or embedded link without being logged in, the booking flow's "Your Information" section includes a Credit Card Information field with a note explaining why it's being collected; the booking cannot be completed without a valid card. Clients who are already logged into an existing Healthie account skip this prompt entirely, and the requirement has no effect on appointments a provider books directly. Once booked, the provider is notified of the new client and can view both the appointment and the stored card from the newly created Client Profile.

Require a Credit Card During Client Booking lets providers require a card on file before a prospective or new client can complete booking a specific appointment type. It's built for practices that want payment protection, such as coverage for late cancellations or no-shows, on introductory or first-time sessions without adding friction for established clients. The requirement only applies to clients booking through a public or embedded booking link while not logged into an existing Healthie account; clients who are logged in are never prompted, and the setting doesn't affect appointments a provider books on a client's behalf. The appointment type must already be enabled for client self-booking before this requirement can be applied.
