Lock Client Name Editing in the Portal

Keeps client legal names provider-controlled by making the name fields read-only in the client portal. Clients can still update their preferred first name, while legal first and last name changes go through the provider so the record on file stays consistent with insurance and prior documentation.

Built by Core Engineering

The problem it solves

When a client changes their own name in the portal, that edit flows straight into the record providers, billing, and insurance rely on, creating mismatches against legal and payer documentation that staff then have to catch and reconcile manually. Without a way to restrict the field, practices are left choosing between allowing all client edits or auditing records after the fact.

What's included

  • Org-level setting that locks legal first and last name fields in the client portal
  • Preferred first name remains editable by the client
  • Helper text on the locked fields directing clients to their provider for name changes
  • Enforcement at both the portal and API layer so the restriction holds across all client-facing surfaces
  • Provider-side name editing unaffected regardless of the setting
  • Standardized name field labels across portal, provider view, and mobile: First name (preferred), First name (legal), Last name (legal)

How it works

An org admin enables the setting from organization settings. It applies to every client in the organization and defaults to off, so practices that do not enable it see no change in behavior. Once on, the legal first name and last name fields render as read-only in the client portal profile and settings, with helper text telling the client to contact their provider to update their name. The preferred first name field stays editable. The restriction is enforced on the backend as well as in the portal, so name updates attempted through the API on behalf of a client are also blocked. Providers edit client names from the provider-side profile as normal.

Lock Client Name Editing in the Portal is an organization-level setting that prevents clients from changing their legal first and last name from the client portal. It is built for practices in clinical or compliance-sensitive settings where the client record must match legal and insurance documentation. When enabled, the name fields appear disabled in the portal with helper text directing clients to contact their provider for changes. Providers and admins continue to edit client names from the provider side with no change in workflow.
